Using your PrivoHub Portal
The Portal is your control centre: open your apps, watch your storage, change or cancel your plan, invite people, and manage your account, all from one place.
1. Open the Portal
Sign in and click Portal in the top navigation. If you don't have a workspace yet, you'll be invited to get started.
2. Finding your way around
The Portal is a sidebar next to whatever you're looking at. The sidebar has three parts:
- Workspace holds Overview, the summary page you land on.
- Your apps launches Photos, Drive and Vault in a new tab.
- Manage is the rest of it: Storage, Members, Import & export, Billing and Security. An amber dot on Billing means something needs your attention there.
On a phone the sidebar folds away behind a button at the top of the page that names where you are, such as Billing. Tap it to open the same menu, and tap any item to go there.
At the bottom of the sidebar sits your workspace's own address, yourname.privohub.com, with its current status. That's your front door: sign in there and you get a simple launcher with tiles into Photos and Drive, so you never have to remember the individual app addresses. It's the one link worth bookmarking, and the one to share with anyone you've invited.
3. Overview
Everything at a glance, with each card linking to the page that can act on it: your storage bar split between Photos and Drive, tiles to launch the three apps, your current plan, how many people are in your workspace, and shortcuts into importing and exporting. Any billing problem shows up here as a banner before anything else does.
Nothing on Overview lives only there, so you can safely treat it as a dashboard and do the real work on the pages it points to.
4. Storage
Storage breaks your quota into Photos, Drive and what's still free. Photos and Drive share one pool, so a large video in Drive takes room your photo library could have used. That's deliberate: one plan, one number, no juggling two quotas.
The figure is measured on disk rather than added up from your file sizes, so it includes thumbnails and video previews as well as your originals, and it refreshes every few minutes. It's the same number your apps show you.
5. Change your plan
On Billing, click Change plan, pick a size, and confirm. Before anything is charged, the dialog shows exactly what will happen:
- Upgrades are immediate. Your bigger quota applies right away. The billing cycle resets to today: you're credited for the unused time on your old plan and charged a full new period now, and the dialog itemises that before you confirm.
- Downgrades are scheduled. They take effect at the end of the period you've already paid for. You keep your current plan and quota until then, and you can call a scheduled downgrade off any time before it lands.
- Moving up from the free plan sends you through a secure Stripe checkout to add a card first.
- A downgrade to a smaller paid plan is blocked while your usage is above that plan's quota. Free up space or wait, then try again.
- Cancelling to the free plan is the exception: it always goes through. If your data doesn't fit the free plan we warn you rather than stopping you, because being unable to stop paying for a plan you filled would be the worse outcome.
Filling your quota does not suspend anything. New uploads are refused until you free up space or move to a larger plan; everything already stored stays fully available to browse, download, share, export, and delete.
6. Monthly or yearly billing
Every paid plan can be billed monthly or yearly: pick the period with the toggle on the pricing page or in the change-plan dialog. Yearly works out to roughly two months free versus paying month to month. Switching from monthly to yearly counts as an upgrade and is billed today; yearly to monthly is a scheduled change that takes effect at renewal.
7. Cancelling
Cancel subscription sits at the foot of the plan card on Billing. Cancelling means moving to the free plan at the end of the period you've paid for, and it is deliberately undramatic:
- Nothing is deleted, and your account stays open. You keep your photos and files, and you keep your current plan and quota right up to the end date.
- If what you're storing is more than the free plan holds, we tell you how much over you'd be, and let you do it anyway. After the end date you can still browse, download, share, export and delete. Uploads are what stop.
- Deleting files after that point lowers your cap as you go, so once you fit the free plan everything works normally again.
- We email you a confirmation, then a reminder before the end date, so it never lands as a surprise.
Changed your mind? While a cancellation is pending, Resume my plan on the Billing page calls it off and nothing was ever interrupted.
8. Your payment method
On paid plans, Billing shows the card on file with its expiry date, and Update takes you to Stripe to enter a new one. We never see or store the card number ourselves. The date turns amber the month it's due to expire and red once it has, so a renewal doesn't fail quietly.
9. Payment history
Below your payment method, Payment history lists your past charges with the date and amount. Each one has a Download link to its official Stripe invoice (PDF) for your records or expenses.
10. If a payment fails
A failed renewal is not treated as a reason to cut you off. The Portal shows a banner with Pay now, which retries the outstanding invoice on your existing card, and Update payment method for a new one. Either fixes it instantly and restores your plan in full.
If nothing is resolved, we retry the card ourselves and email you at days 3, 7 and 12. After that:
- Day 14. Your quota drops to the free plan. Photos and Drive keep working: uploads stop, everything else, including exporting and deleting, does not.
- Day 60. Access to the apps is suspended.
- Day 74. The workspace and its data are permanently deleted.
Paying at any point before day 74 restores your plan, your quota and your access exactly as they were. If your usage fits the free plan we simply move you there instead of deleting anything.
11. Invite people into your workspace
Members is where you invite people you trust. Each one gets their own Photos and Drive on your plan, they can't see your library and you can't see theirs, and you can revoke them later. Invite as many as you like: there is no cap on members and no per-person fee, only the storage they share. See the full Managing access guide for what that does and doesn't share.
12. Import & export
Import & export routes to the two managed flows: bringing a Google Photos or iCloud library in, and taking a full copy of your photos and files back out as downloadable zip parts. Both run on our servers with nothing to install.
An export is per person, so it contains your own library rather than the whole workspace's, and it stays ready to download for 48 hours after it finishes.
13. Account & security
Security is your account rather than your workspace: your name, your password, and your two-factor devices. Changing any of them hands you to the PrivoHub login and brings you back when it's done.
If you were invited into someone else's workspace
Your Portal shows a reduced sidebar, because the plan, the storage and the member list belong to the owner. You still get the apps, your own imports and exports, and your own account settings.
An account belongs to one workspace at a time. To create a workspace of your own, use Leave this workspace on your Overview first. What you uploaded stays in the owner's workspace, so download a copy from Export before you leave if you want to keep it. Your account and your Vault carry on as they are.
